Outlook Search

We are all familiar with using Microsoft Outlook and the search feature.

Most of us will also be familiar with searching and getting no or limited results.

On your computer, Microsoft Outlook is searched via the Windows Indexing service.

✅ Pros:

  • Supports advanced filters (From, Subject, Has Attachments, etc.).
  • Can search across email, calendar, contacts, and tasks.
  • Works offline (if cache is available).

⚠️ Limitations:

  • Indexing issues can cause incomplete results.
  • Performance may degrade with large mailboxes or PST/OST corruption.
  • Search folders and custom views may behave inconsistently.

You do have another option, and that is to use search via Outlook Online

✅ Pros:

  • Searches directly on the server, so results are complete and up-to-date.
  • No dependency on local indexing or cache.
  • Supports Microsoft Search, which is more consistent across M365 apps.
  • Better for shared mailboxes, delegate access, and mobile users.

⚠️ Limitations:

  • Fewer advanced filtering options (though improving).
  • No offline access.
  • Interface may be less familiar to some users.

🔍 How to Search Emails in Outlook Online

Basic Search

  1. Go to https://outlook.office.com and sign in.
  2. Use the Search bar at the top of the page.
  3. Type keywords like:
    • from:john@example.com
    • subject:invoice
    • has:attachment
    • after:01/09/2025 before:09/09/2025

Advanced Search Filters

Click the filter icon (🔍 with sliders) on the right side of the search bar to access:

  • From
  • To
  • Subject
  • Date range
  • Has attachments
  • Folder selection

Search Scope

  • By default, it searches All folders in your mailbox.
  • You can narrow it to Inbox, Sent Items, or specific folders.
